Guidance on Election of Trustees

ELECTION of OFFICERS to the TRUSTEE BOARD

Up until 1st April 2022 the club was run by a Management Committee consisting of:

  • Club President
  • General Secretary
  • Treasurer
  • Women’s Captain
  • Men’s Captain
  • Hill Running Captain
  • Welfare Officer
  • General members (up to 5)
  • Now, as a SCIO, we have a Board of Trustees with at least 7, and up to 12, trustees.

The purpose of the trustee board is to run the club for the benefit of its members. We have a very varied membership and we are keen to ensure that their interests are reflected in the composition of the committee. New trustees bring fresh ideas that will help us to continue to cater for the needs of our members, both old and new, and to attract new members.

Principal office bearers are:

  • Club President
  • General Secretary
  • Treasurer

The following roles will normally be trustee roles but could, if required, be filled by persons not in a position to be a trustee:

  • Welfare Officer

Up to three club captains (i.e. Women’s Captain, Men’s Captain, Hill Running Captain)

The intention of our SCIO constitution is that trustees will be elected for a 3-year term.  However, for the first 2 years that we operate as a SCIO, we intend that trustees will be elected for terms of 1, 2 or 3 years.  This is to ensure that approximately one third of trustees will retire at each subsequent AGM.

The principal officers (President, Secretary and Treasurer who were in post when the club became a SCIO will remain in place for 1, 2, and 3 years to ensure some continuity on the Board.

Sue Walker (Secretary) and Kerry Hunter who have both served one year as trustees are standing down but are prepared to stand for a further 3-year term of office at the 2023 AGM.

The following trustees have indicated they intend to step down from their roles, and the trustee board:

  • Jonathan Millar – Hill Captain
  • Neil Anderson – Men’s Captain

The trustees propose that this year, the hill captain’s duties are picked up by the men’s and women’s club captains.

Nominations are therefore invited for the positions of

  • Club secretary,
  • general trustees (up to 2), and
  • Men’s Captain (non-trustee if appropriate).

Nominees should indicate whether they are prepared to serve on the Board for 1, 2 or 3 years.

Candidates for election must have been fully paid-up members of the Club for a minimum period of 12 months and must have given their consent for nomination.  Candidates must be proposed and seconded by fully paid up club members. A nomination and trustee declaration form is attached.

The trustee declaration should be signed by every candidate for election, unless the candidate is unable to stand as a trustee but is willing to fulfil the duties of a club captain.

All nominations should be submitted to Sue Walker, General Secretary, (by email to [email protected]) no later than 5th May 2023 so that details can be circulated to members in advance of the AGM.

If you want to know more about what your role as a Trustee or, indeed, Club Captain, would entail, please speak to any of the current office bearers or general members or contact Sue Walker on 01383 872147.
